First, the fair version

ResponsiBid did not get big by accident. It launched in 2008, back when “instant online bidding” sounded like science fiction to a guy with a pressure washer and a flip phone. It has been refined by seventeen years of real contractors breaking it.

If you clean windows or wash houses and you want the deepest bidding logic on the market with follow-up sequences that chase a bid for weeks, ResponsiBid is a legitimately strong buy. We are not going to pretend otherwise on our own website.

  • Mature product with a long track record
  • Follow-up sequencing is its best feature, and it is better than ours
  • Very deep in window cleaning and pressure washing
  • A support team that has onboarded thousands of shops

The price, without the dance

ResponsiBid's paid tiers run roughly $179–229 a month, and third-party reviews consistently report a $400–600 setup fee on top. There is also a reported seasonal pause at around $50/mo, which is a genuinely thoughtful thing to offer a gutter guy in February.

NapkinPrice™ is $99 a month. No setup fee. If you go quiet in winter, hit seasonal pause on your Billing page — up to 4 months a year, free — and your pricing rules, texting number and history stay put, where ResponsiBid charges around $50 a month to hold the seat. Prefer to cancel outright? That is free too, and your configuration is held for 90 days if you come back inside that window — past 90 days, pause is the one that keeps your price book.

Go check this yourself

ResponsiBid now advertises a free Startup tier. We have not stress-tested it, and free tiers usually carry limits on quote volume, branding or automations. If your shop fits inside it, that is a better deal than ours and you should take it. Read their current terms before you buy anything from anybody, us included.

Where ResponsiBid genuinely beats us

Four things they do better today. We would rather you hear it here than find out in month two.

Seventeen years of edge cases

Every weird pricing rule a window cleaner ever invented has already been filed as a support ticket somewhere in their history. We launched in 2026. We are honest about what that means.

Follow-up sequencing

Their multi-step chase after a bid — email, text, reminders, re-quotes — is deeper than what we ship. If your close rate depends on the eleventh touch, that is their column.

Window and exterior cleaning depth

Pane counts, screen counts, story multipliers, soft-wash surface tiers. They model this at a level of detail we simplified on purpose.

A human builds it with you

You pay for onboarding and you get onboarding. Some contractors would rather write a $500 check than spend an afternoon in a settings screen. That is a completely reasonable trade.

Where we are different on purpose

We built for the two-truck shop that will never sit through a 45-minute onboarding call.

Switching in an afternoon

There is no data migration, because the only thing worth moving is your pricing math — and you already know it by heart. Run both for a week if you want. We have no lock-in either way.

1

Screenshot your rules

Open your ResponsiBid bid settings and grab pictures of every rate, minimum, multiplier and travel zone. Ten minutes. Do not cancel anything yet.

2

Retype them in one screen

Start the trial and type those same numbers into your services, rates, minimums and travel zones. Most shops finish in twenty minutes because the math was never the hard part.

3

Swap the script tag

Replace the embed on your site with ours, or run both buttons side by side for a week and see which one people actually finish.

4

Cancel when you are sure

Not before. When your first week of leads looks right, turn off the other subscription. No exit fee here, and you keep a CSV of every lead.

Who should stay with ResponsiBid

Churning to save $80 a month is a bad trade if the thing you are leaving is working.

Stay put if…

  • You are a window cleaner pricing by pane, screen and story, and their detail is why you close.
  • Your follow-up sequences are doing real work and you can see it in your close rate.
  • You already paid the setup fee and the thing runs fine. That money is spent either way.
  • You want someone on a scheduled call to configure it for you.
  • You need seventeen years of proof before you put a tool in front of customers.

Come over if…

  • You wanted a quote widget tonight and the setup fee stopped you cold.
  • Your pricing is straightforward: per foot, per square foot, flat fee, minimum, travel.
  • You are also bleeding missed calls, cannot fill a crew spot and never get round to asking for the review — those are the other three products.
  • You shut down for three months a year and resent paying for the privilege.
  • You are one to ten trucks and $229 a month for one feature is a real number to you.

Straight answers

No. It is a good product that costs more than ours and asks more of you up front. We win on price, speed to live, and bundling quotes with calls and hiring. They win on maturity, follow-up depth and hand-holding. Pick the column that describes your week.

If their free Startup tier covers what you need, take it — genuinely. Free tiers normally cap quote volume, add vendor branding, or hold back automations, so read the limits. If it fits, you just saved $99 a month and we would rather you spend it on gravel.

No, and nobody can. There is no export format between competing quote engines. What works is screenshotting your rate table and retyping it into our rate screen. Most shops are done in about twenty minutes because it is a dozen numbers, not a database.

No. We sit in front of whatever you already run. Leads export to CSV any time, and each one queues a signed webhook (live in beta: deliveries wait for the worker, which is being scheduled) — that is how you get them into Jobber, Housecall Pro or a spreadsheet, through Zapier. A new quote emails whoever you nominate, with the whole job on it; native connectors and text alerts are on the roadmap, and our integrations page marks which is which. If you switch back to ResponsiBid next year, your CRM never knows the difference.

Not to their depth, and we are not going to pretend. We price windows by count bands and story multipliers, which covers most residential routes. If your bid depends on separating grids, screens, tracks and sills line by line, ResponsiBid models that better.

You export every lead to CSV from the dashboard before you go, and cancellation is a button, not a phone call. No exit fee, no 30-day notice, no retention specialist ringing your cell while you are on a roof.
